Job Description:

1. Operate multi-line telephone system to answer calls.
2. Answer and re-direct all incoming calls and handle inquiries whenever possible
3. Greet, assist and/or direct guests, visitors and the general public.
4. Record information of all incoming visitors.
5. Provide HSE briefings to new employees and external parties.
6. Receive, direct and relay telephone messages and fax messages.
7. Direct newspapers to the appropriate staff member.
8. Pick up and deliver the mail.
9. Open mail and date stamp all general correspondence.
10. Maintain the general filing system and file all correspondences.
11. Assist in the planning and preparation of meetings, conferences and video conference calls.
12. Maintain an adequate inventory of office/ kitchen supplies.
13. Monitor the use of supplies and equipment.
14. Receive, forward and prepare summary of bills.
15. Perform other related duties as required
16. Prepare daily admin report.
