Senior MANAGER ADMINISTRATION
JOB SUMMARY
The Senior Manager Administration is responsible for providing strategic leadership and oversight of the entire Administration function across United King’s Head Office, branches, and factories. The role ensures efficient facility management, vendor and budget control, and full regulatory compliance. The incumbent drives process improvement, digitization, and cost optimization initiatives, and acts as the key liaison with senior management, government bodies, and auditors on all administrative and industrial relations matters.
KEY RESPONSIBILITIES:
- Provide strategic leadership and direction to the Administration function across all locations, including Head Office, branches, and factories.
- Lead, mentor, and manage the performance of Administration team to ensure cohesive execution of admin operations.
- Design, review, and institutionalize administrative policies, systems, and SOPs in line with company objectives and best practices.
- Oversee enterprise-wide facility management, including office infrastructure, factory premises, guesthouses, staff accommodation, and transport.
- Drive strategic vendor management, contract negotiation, and service agreements to optimize cost and service quality.
- Own the administration budget end-to-end: planning, forecasting, monitoring, and variance analysis in coordination with Finance.
- Ensure company-wide compliance with statutory and regulatory requirements (e.g. Trade License, SFA, EOBI, SESSI, labor laws) across all branches and factories.
- Provide oversight on Industrial Relations matters, guiding team on labor union engagement, grievance resolution, and workforce harmony.
- Act as the primary point of contact for legal, audit, and regulatory inspections, ensuring full documentation readiness.
- Champion digitization and automation of administrative processes (e.g. attendance systems, document workflows, MIS reporting) across the organization.
- Ensure robust security systems, controls, and crisis management protocols are operational and audited across all locations.
- Consolidate and present monthly/quarterly MIS reports and administrative analytics to senior/top management.
- Collaborate with HR on organizational planning, recruitment, training, and development of the admin workforce.
- Lead planning and execution of company-wide events, audits, training programs, and internal communications.
- Identify opportunities for cost optimization and operational efficiency across the administration function.
- Undertake special assignments, ad-hoc functions, and related duties as directed by senior management.
REQUIREMENTS:
- Graduate/Master’s degree, preferably in Business Administration.
- 8 – 10 years of relevant experience, including 3-4 years in a managerial role.
- Sound knowledge of labor laws and statutory compliance (EOBI, SESSI, SFA).
- Strong leadership, negotiation, and vendor/budget management skills.
- Proficiency in MS Office and exposure to digitized/automated administrative systems.
